The following is a few ways to optimize Google voice feature and make it more efficient:
1) Search and prioritize your calls - This is the most important features of Google Voice. On your behalf, Google will record the voice-mail and the recorded voice-mail will then be send to you by e-mail or text messages through a digitally made transcript. Although the robot transcript aren't perfect, but it is usually clear enough to know who's the person calling and what is he/she talking about. Another amazing features offer by Google Voice is - just like Gmail inbox, you can search for transcript text of your voice-mail which allow you avoid missing important calls.
2) Specify when and where you want to receive calls - You can tell Google voice to set which times of days you will be at which numbers and assist you by saying you don't want the phone to ring during business hours. You can also change this rules for specific contact or groups as describe above. And of course, you can make exceptions for some particular important contacts which are important enough to merit and interruptions. Specify his/her number and it will automatically pass through the line.
3) Use different rules and greetings for different contacts - You can assigned different groups to different behavior by adjusting the Google voice setting menu. You can set certain individuals or groups should be connected to certain number or block some people which make unnecessary harassment calls. For example, you can determine which contacts will be calling to discuss business development deals and which contacts will be calling for product support, and forward those calls to the appropriate team member inboxes automatically. You can also create custom voicemail messages for important clients or to represent certain divisions of your business.
